How to use this template

When you need it

Prepare after an actual site inspection against identified drawings, specifications or procedures. Use it when the inspected scope, results, evidence and unresolved actions need a formal, reviewable record.

What it helps you decide

The report connects each conclusion to its inspected location and applicable criterion. It enables targeted correction and follow-up while making sampling, access limitations and unverified matters visible alongside the inspection outcome.

How to complete it

  1. Complete Inspection details and scope with actual attendance, location and exclusions. Verify Documents and acceptance criteria, including current revisions, before recording any acceptance result.
  2. For each Item ID, enter Location or activity, Inspection criterion and source, Actual result or observation and Evidence reference. Distinguish confirmed deviations from clarification questions.
  3. Assign Responsible person and Due date, then maintain Follow-up status. Summarize limitations and outstanding matters, leaving closure and signatures for actual review and verification.

Who prepares and reviews it

The attending inspector prepares it with relevant photographs and test references. A competent discipline reviewer checks evidence and limits; the authorized approver records the project's actual decision under applicable inspection arrangements.

A mistake to avoid

Writing an overall pass without stating inaccessible or uninspected areas can make a limited inspection appear to confirm the entire installation against all requirements.

Illustrative example

Illustrative example: an inspector checks accessible supports on a ventilation installation but cannot reach an enclosed section. The report records inspected locations, photographs and a support-spacing observation, while stating the access limit. The responsible engineer decides corrective follow-up and what additional inspection is needed before wider conclusions are possible.
