How to use this template

When you need it

Use this register when materials arrive on site or at a fabrication facility and their identity, quantity, inspection evidence, disposition, and authority for release must remain traceable before incorporation into work.

What it helps you decide

It links each receipt and batch to its specified material and acceptance evidence, helping teams prevent unverified or rejected supplies from entering construction and retain traceability when a later defect affects a particular lot.

How to complete it

  1. Enter Inspection ID, Receipt date, Material and specification, Supplier and delivery reference, and Batch lot or heat from actual delivery and identification records.
  2. Confirm Quantity and unit, link Inspection or test reference, and record Disposition according to the evidence reviewed rather than the urgency of installation needs.
  3. Reference Action or NCR reference for exceptions, identify Inspector, and complete Release authority and date only after the responsible role makes the relevant release decision.

Who prepares and reviews it

A receiving inspector or quality coordinator normally maintains the register with stores, procurement, and discipline-engineering input. Authorized technical or quality personnel determine disposition and release according to the actual specification and project inspection arrangements.

A mistake to avoid

Releasing an entire delivery because one sample has acceptable documentation can destroy batch traceability and allow unidentified or unverified material to enter the works.

Illustrative example: reinforcing steel arrives with delivery paperwork that does not match one bundle's heat identification. The register records the affected quantity and inspection reference, assigns a held disposition, and links the clarification action. Only the verified batches are released under the project's inspection process.
