Equipment Preservation and Storage Log

Track required preservation activities and actual storage observations before equipment installation or start-up.

How to use this template

This Excel template contains prepared working sheets and completion notes on a separate sheet. Enter your project data and review the completed workbook before use.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use this log while equipment is stored, transported, or awaiting installation or commissioning and its required preservation conditions or activities need traceable evidence, particularly during prolonged storage or changed environmental exposure.

What it helps you decide

It connects each equipment package with the actual preservation instruction, due trigger, observed condition, and action evidence, helping teams detect deterioration and resolve missed requirements before installation or operating readiness is assumed.

How to complete it

  1. Identify Tag / package ID and Storage location, then reference the applicable Instruction / revision and Required activity / condition for the actual equipment.
  2. Record Due date / trigger and Action / inspection date distinctly, documenting Actual observation / action instead of treating a planned activity as completed.
  3. Attach Evidence reference, identify Responsible person, and link Exception / action reference whenever observations or missed triggers require assessment, correction, or a technical decision.

Who prepares and reviews it

A storage or materials coordinator usually maintains the log with mechanical, electrical, supplier, and quality input. Competent discipline personnel assess exceptions, while the project's designated equipment custodian controls preservation responsibilities and escalation arrangements.

A mistake to avoid

Entering repeated satisfactory observations without recording the actual inspection or preservation evidence can conceal missed activities and equipment deterioration during extended storage periods.

Illustrative example

Illustrative example: a standby pump remains in a temporary store after installation is delayed. The log references its preservation instruction and records an inspection finding of damaged packaging. The custodian opens an action, obtains the specialist assessment, and preserves evidence of the corrective work before release.
