When you need it

Prepare a transmittal whenever a controlled group of documents is issued to named recipients for a defined purpose. Use it for design review, construction information or handover so the contents and requested action are explicit.

It creates a clear record of what was sent, in which revision and for what use. Recipients can reconcile attachments and respond appropriately without inferring status from the email subject or filenames.

How to complete it

  1. Confirm that the documents are authorized for the intended issue, then identify recipients, distribution restrictions and delivery requirements from the actual project instructions.
  2. List document numbers, titles, revisions and filenames, assigning the correct purpose of issue and recipient action so the enclosure list matches the actual package.
  3. Check the transmitted contents against the list, retain delivery and receipt evidence, and follow up discrepancies through the project process without treating transmission itself as acceptance.

Who prepares and reviews it

Document control normally prepares the transmittal using originator and distribution instructions. The package owner confirms intended issue status; the designated issuer follows the project's communication authority and confidentiality arrangements.

A mistake to avoid

Do not mix review-only and construction-use documents under an ambiguous common purpose; recipients need clear status and action for every transmitted item.

Illustrative example: a designer issues revised foundation drawings for review. The transmittal names the drawings and revisions and states the recipient action. When one attachment is missing, the recipient can identify the exact gap, allowing a controlled correction before the review proceeds.
