Technical Knowledge Transfer Package

Capture the reasoning, assumptions and reproducible evidence needed to maintain an engineering solution after handover.

How to use this template

This Word template contains prepared headings, tables, project fields and completion notes. Add your information, review the completed document and remove the notes before issue.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use before an engineering solution, model or research output moves to a receiving team. Prepare while the original contributors can still explain assumptions, rejected alternatives and the evidence behind decisions.

What it helps you decide

The record preserves the reasoning needed to maintain or revise a solution after handover. It exposes inaccessible dependencies and unsupported uses that a file transfer or signature alone would not reveal.

How to complete it

  1. Identify each Knowledge item and Rationale / source from actual decisions and evidence. Explain why the selected approach was used and preserve relevant rejected alternatives.
  2. Record Controlled location, Dependency and Use limitation, including software versions and assumptions. Check authorized access to necessary files without exposing credentials or restricted third-party material.
  3. Define a Reproduction check for the receiving team. Record actual Open questions and Receiving owner, then resolve gaps without pre-entering competence or acceptance claims.

Who prepares and reviews it

The originating technical lead prepares it with key contributors and controlled-file owners. Receiving engineers test understanding and access; the designated technical authority assesses open conditions and any separate acceptance decision.

A mistake to avoid

Handing over final outputs without the assumptions and controlled source locations leaves the receiving team unable to reproduce results or judge whether changed conditions require re-evaluation.

Illustrative example

Illustrative example: a project hands an energy model to the facility team. The transfer record identifies source data, version dependencies and assumptions about operating hours. The receiving engineer reproduces a known case, revealing a missing input file that must be resolved before routine use.
