Run a retrospective after a defined period or work cycle when a team can examine its recent collaboration and delivery practices, select practical improvements, and review whether earlier experiments actually helped.
It creates a short feedback loop between experience and changed behaviour, helping teams address recurring friction while the evidence remains fresh and the people involved can still test an improved way of working.
The participating team normally owns the discussion, supported by a facilitator or team lead. Relevant interface contributors join where useful, while decisions beyond team authority are referred through the project's established management arrangements.
Ending with a long list of complaints but no small, testable action leaves the team repeating the same discussion without evidence of improvement.
Illustrative example: a design coordination team reviews a fortnight of late interface responses. Members identify that questions arrive without marked drawings, then agree to trial a clearer request format. At the next retrospective, they check whether response quality and decision turnaround improved before adopting the practice.
Confirm the adopted edition, local amendments, National Annex where relevant, and contract requirements.
