How to use this template

When you need it

Use this handover when topographical or geodetic datasets move from a survey provider to a designer, contractor, or asset owner and their reference systems, completeness, and intended use require confirmation.

What it helps you decide

It prevents technically readable survey files from being mistaken for verified design or setting-out inputs, by preserving datum information, dataset identity, accuracy statements, and unresolved receiving-party checks for intended use.

How to complete it

  1. Complete Survey and reference system with survey dates, coordinate and vertical datums, units, and any stated transformations using the provider's actual records.
  2. Populate Dataset and drawing schedule with transferred native files and reports, then reference control-point schedules, accuracy statements, calibration, and quality records.
  3. Document file readability, completeness, and inconsistencies in Receipt checks and outstanding matters, assigning further checks before using the data for its purpose.

Who prepares and reviews it

The survey provider typically compiles the handover, with the receiving surveyor and design coordinator checking usability. A competent geospatial reviewer assesses reference-system questions; acceptance authority depends on the appointment and project process.

A mistake to avoid

Importing survey files successfully into CAD does not confirm their datum, accuracy, completeness, or suitability for design levels and construction setting out.

Illustrative example

Illustrative example: a road designer receives a terrain model and control schedule for a junction upgrade. The handover records the supplied horizontal system but identifies missing vertical-datum confirmation. The files are received, while drainage-level design waits for the surveyor's clarification and a checked benchmark reference.
