How to use this template

When you need it

Use when supplier quotations cover different scopes, currencies or delivery terms. Prepare before using headline prices in procurement comparisons or carrying a selected quotation into the project estimate.

What it helps you decide

Normalization makes scope and commercial differences visible on a common cost basis. It prevents the lowest quoted number from winning by omitting freight, installation or required items that another supplier includes.

How to complete it

  1. Record Supplier / quote and Quoted amount from original offers, retaining validity, quantity and conditional pricing. Establish the common scope and destination for comparison.
  2. Describe Scope difference and Adjustment source for each missing or additional item. Keep unsupported adjustments unresolved instead of filling them with invented allowances.
  3. Reconcile Delivery basis and Currency basis before entering Normalized cost from checked calculations. Retain Unresolved qualifications and separate price comparison from technical suitability or award.

Who prepares and reviews it

The procurement estimator prepares the comparison with buyers, discipline engineers and logistics contributors. Finance or tax specialists verify relevant assumptions; technical compliance and award decisions remain with their separate authorized reviewers.

A mistake to avoid

Adding freight to a delivered quotation duplicates cost, while ignoring the other supplier's excluded commissioning can reverse the apparent ranking for the wrong reasons.

Illustrative example

Illustrative example: two pump quotations appear similar, but only one includes delivery and commissioning attendance. The comparison records those differences and obtains sourced costs for the missing scope. Procurement can then compare a common basis while the engineer separately reviews technical deviations.
