Stakeholder and Interface Register

Identify external/internal interfaces, owners, decisions, due dates and unresolved dependencies.

How to use this template

This Excel template contains prepared working sheets and completion notes on a separate sheet. Enter your project data and review the completed workbook before use.

This editable workbook helps you organise project information. Check any included formulas, assumptions and results before use; it does not replace professional review.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use this register when different organizations, disciplines or packages must exchange information or make linked decisions. Establish it during planning and update it as boundaries, stakeholders and dependency milestones change throughout delivery.

What it helps you decide

It turns broad coordination needs into identifiable exchanges between named roles. The team can see what one party needs from another and act before an unresolved interface delays dependent work.

How to complete it

  1. Identify stakeholders and package boundaries using the organization list and interface drawings, checking communication restrictions and contact permissions appropriate to the parties involved.
  2. Record each interface with the two party roles, required exchange and due milestone, clearly defining the information or decision needed for the dependent work.
  3. Assign the next action and review unresolved dependencies with both sides, retaining supporting references and escalating decisions through the established project coordination route when needed.

Who prepares and reviews it

The interface coordinator gathers information from package managers, designers, external service representatives and other relevant roles. Project management reviews unresolved dependencies; actual communications and decisions follow agreed permissions and delegations.

A mistake to avoid

Do not use an organization name as a substitute for an interface definition; specify the required exchange and its consequence for dependent work.

Illustrative example

Illustrative example: a utility provider needs final demand information before assessing a connection arrangement. The register identifies the provider and design roles, required exchange and dependency milestone. The coordinator can then secure the missing input and track the resulting decision before design advances.
