How to use this template

When you need it

Establish when contract securities and insurance requirements are known. Review at award, amendments, extensions and closeout, especially where changed value, time or scope may affect an instrument's continuing relevance.

What it helps you decide

The tracker connects each obligation with the instrument actually supplied and its conditions. It highlights gaps and extension needs without assuming that an expired instrument means the underlying obligation has ended.

How to complete it

  1. Map Requirement ID and Contract locator to Instrument / issuer. Distinguish effective issued evidence from quotations, draft wording or proposals awaiting confirmation.
  2. Record Amount / currency, Scope / parties and Expiry / notice from the documents. Identify Coverage questions and changes requiring specialist review or an extension.
  3. Track Release evidence against verified conditions and authorized instructions. Keep proposed release, beneficiary action and issuer-confirmed cancellation distinct in the administrative record.

Who prepares and reviews it

A contract administrator coordinates the register with finance, insurance advisers and document holders. Qualified specialists review wording and coverage; releases or cancellations follow actual contractual authority and issuer processes.

A mistake to avoid

Checking only the instrument amount and expiry can miss an incorrect beneficiary, excluded scope or wording issue that requires qualified review before reliance.

Illustrative example

Illustrative example: construction is extended beyond the date shown on a performance guarantee. The tracker links the amendment and guarantee expiry, identifying the responsible follow-up. The contract team obtains appropriate confirmation or extension rather than assuming the original instrument automatically follows the revised programme.
