How to use this template

When you need it

Use when project payments, receipts and funding timing must be planned together. Update with actual cash movements and revised milestone assumptions, particularly when deposits or retention create timing pressure.

What it helps you decide

The register separates economic progress from cash timing and records the basis for expected movements. It helps finance identify scenarios needing funding review without claiming that invoiced or earned value has been received.

How to complete it

  1. Define each Cash event and Contract / source using deposits, milestones, payment lags and retention. Record Amount / currency separately from its Accrual period.
  2. Enter Expected cash date and Confidence from supporting assumptions. Distinguish committed events from forecast or scenario entries; the register contains no balance or funding-gap formulas.
  3. Reconcile Actual cash reference and Variance / action before updating future dates. Use a separately reviewed model to assess funding effects under labelled receipt or payment scenarios.

Who prepares and reviews it

Project finance or the commercial manager prepares entries with procurement and planning teams. A finance reviewer reconciles actuals and a separate model; funding decisions remain with authorized treasury or management roles.

A mistake to avoid

Placing revenue in the month of invoicing without considering the actual payment mechanism understates the financing need and confuses an accounting event with cash receipt.

Illustrative example

Illustrative example: equipment requires a supplier deposit before the owner's next milestone payment is expected. The register records both events, their contractual basis and uncertain dates. Finance tests the timing in a reviewed cash model and decides whether an authorized funding arrangement or commercial adjustment is needed.
