How to use this template

When you need it

Use when an approved maintenance strategy must become an identifiable planned task. Prepare before scheduling work so the correct asset, procedure, resources and required completion evidence are understood.

What it helps you decide

The task record connects maintenance administration to an approved technical method. It clarifies readiness and evidence requirements without inventing equipment settings, operating limits or authorization to isolate and perform the work.

How to complete it

  1. Identify Task / asset and current Procedure reference. Record Frequency basis from approved sources and define the task boundary without substituting generic instructions for the procedure.
  2. List Readiness requirement and Resource requirement, including competence, tools and access. Reference the separate permit and isolation arrangements applicable to the intended work.
  3. Define Evidence to record and Acceptance source from verified instructions. Set Exception route for abnormal findings or deferral and leave completion evidence for actual performance.

Who prepares and reviews it

A maintenance planner prepares it with the asset engineer and competent technicians. Operations confirms access and authorization arrangements; technical acceptance and work release remain with the roles designated by the operator's procedures.

A mistake to avoid

Prefilling acceptable measurements or completion signatures during task planning creates false maintenance evidence and prevents later reviewers from distinguishing instructions from work actually performed.

Illustrative example

Illustrative example: a facility schedules a manufacturer's specified service on an air compressor. The task links the correct model and procedure revision, identifies required parts and access conditions, and states the evidence to retain. The supervisor confirms readiness before the separate work-authorization process proceeds.
