Physical and Functional Interface Control Record

Define and reconcile the technical requirements and evidence on both sides of a specific system interface.

How to use this template

This Word template contains prepared headings, tables, project fields and completion notes. Add your information, review the completed document and remove the notes before issue.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use when two systems, packages or organizations must agree a specific physical or functional boundary. Prepare during coordination and revisit after changes affect geometry, loads, utilities, controls or operating dependencies.

What it helps you decide

The record places both sides of an interface in one traceable technical discussion. It exposes mismatched assumptions and verification gaps before installation or testing depends on an agreement that has not actually been reached.

How to complete it

  1. Define Interface identity and parties using the boundary drawing and responsible organizations. Describe Boundary and operating context, including shared utilities, dependencies and explicit exclusions.
  2. Compare both sides in Interface requirements using evidenced dimensions, loads, capacities or functions. In Verification and dependencies, distinguish document review, physical measurement and functional testing.
  3. Link Changes and outstanding decisions to the existing change register. Record Interface agreement and release with actual representatives and conditions, including any verification that must be repeated.

Who prepares and reviews it

The interface coordinator prepares it with responsible engineers from both sides and relevant operations contributors. Competent discipline reviewers check evidence; authorized representatives agree the configuration, while energization or operation requires its separate authority.

A mistake to avoid

Closing an interface because drawings align geometrically can miss functional requirements or shared-service dependencies that become visible only during coordinated verification of both systems.

Illustrative example

Illustrative example: a packaged cooling unit connects to building pipework, power and controls supplied by different contractors. The record compares each boundary requirement and identifies an unresolved control response. Both engineering teams agree the required resolution and verification before the project makes a separate operational release decision.
