How to use this template

When you need it

Use when a payment application, certificate and bank receipt do not align clearly. Maintain it across payment periods to distinguish assessment differences, contractual deductions and genuinely unallocated or missing cash.

What it helps you decide

The reconciliation explains how applied values become certified amounts and receipts. It supports focused follow-up while avoiding the false conclusion that every application difference represents certified overdue debt.

How to complete it

  1. Identify Application / period and a consistent currency, tax and cut-off basis. Separate current-period movements from cumulative Applied value and Certified value.
  2. Record Difference reason from actual certificate explanations. Reconcile Retention / recovery and other adjustments against verified contractual records without assuming every deduction is agreed.
  3. Match Receipt reference to bank evidence and payment allocation. Describe Outstanding reconciliation and Follow-up, keeping disputed valuation distinct from certified amounts awaiting payment.

Who prepares and reviews it

The commercial administrator prepares it with quantity surveyors and finance staff. A reviewer checks period and cumulative values; contractual payment decisions and legal interpretations remain with the relevant authorized representatives and advisers.

A mistake to avoid

Subtracting a single receipt from cumulative applications mixes incompatible periods and can exaggerate the amount described as unpaid or overdue under the contract.

Illustrative example

Illustrative example: a contractor receives less cash than the latest application's gross value. The worksheet identifies a certified deduction, advance recovery and a receipt partly allocated to an earlier period. Finance and commercial staff then determine which difference needs clarification and which relates to an unresolved valuation.
