How to use this template

When you need it

Review operations and maintenance manuals when suppliers submit them and again as installed configurations become final. Use the review before handover or operator training to identify information gaps that affect practical use of the asset.

What it helps you decide

It checks whether the manuals describe the actual equipment and support the operator's tasks. The owner can seek missing procedures, spares information or corrected references before incomplete documents become the permanent maintenance record.

How to complete it

  1. Identify manual revisions and compare equipment coverage with the installed list and contract information requirements, noting generic sections that do not match the actual configuration.
  2. Review required information for each manual section, recording gaps, inconsistencies and supplier responses alongside the relevant equipment or system and supporting review evidence.
  3. Check usability with operators, resolve comments against corrected submissions and retain outstanding needs so the authorized handover review can judge the remaining information limitations.

Who prepares and reviews it

The operations or maintenance representative reviews usability with discipline engineers and vendor specialists. Document control tracks comments; technical acceptance and handover decisions follow the project's actual responsibilities and contract requirements.

A mistake to avoid

Do not accept a large vendor manual merely because it looks comprehensive; irrelevant model variants can obscure missing instructions for the installed equipment.

Illustrative example

Illustrative example: a manual for an installed air-handling unit contains maintenance instructions for a different drive arrangement. The review records the inconsistency and supplier response. Operations requests the correct configuration information before finalizing the maintenance procedure and accepting the relevant manual content.
