Use the monthly report at the project's formal management reporting cycle, once schedule, cost, physical progress and commercial data have been reconciled to an identified cutoff and reviewed by their responsible owners.

Project controls coordinates planning, cost, contracts, engineering, quality and commissioning contributions. The project manager reviews conclusions with relevant leads; sponsor or client reporting follows the established governance and authority arrangements.

A mistake to avoid

Do not combine actual costs from one cutoff with progress from another without disclosure; this can distort the apparent relationship between expenditure and achievement.

Illustrative example: an equipment delay moves forecast commissioning while commitments remain close to budget. The monthly report links schedule evidence, procurement status and possible site overhead exposure.
