How to use this template

This Excel template contains prepared working sheets and completion notes on a separate sheet. Enter your project data and review the completed workbook before use.

This editable workbook helps you organise project information. Check any included formulas, assumptions and results before use; it does not replace professional review.

How to use this template

When you need it

Establish the master document register when the project begins generating or receiving controlled information. Maintain it throughout design, procurement, construction and handover whenever document identity, revision, issue status or storage location changes.

What it helps you decide

It provides a reliable map of project information and its current status. Teams can find the intended version, identify overdue deliverables and avoid acting on superseded or incorrectly distributed documents.

How to complete it

  1. Set numbering, coding, revision and status rules, then populate document identity, originator, discipline and planned issue information from the actual deliverable and distribution requirements.
  2. Update actual issue date, revision, status and supersession using controlled issue evidence; record the file location and confidentiality classification appropriate to the document.
  3. Check distribution and access, preserve the audit trail, and resolve discrepancies with the status authority before marking a version current or superseded for use.

Who prepares and reviews it

The document controller maintains the register with originators and discipline coordinators. Technical owners confirm document status and supersession; management or other delegated roles define access, distribution and approval arrangements.

A mistake to avoid

Do not infer technical approval from a filename or upload date; document status must be supported by the project's actual review and issue records.

Illustrative example

Illustrative example: two subcontractors hold different structural drawing revisions. The register identifies the current issue, its predecessor and controlled location. Document control uses the distribution process to correct access and confirm which revision should support the forthcoming work package review.
