Asset Maintenance Strategy Review

Select a justified maintenance approach for each asset function and failure mechanism using available evidence.

How to use this template

This Word template contains prepared headings, tables, project fields and completion notes. Add your information, review the completed document and remove the notes before issue.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use when selecting or revising the maintenance approach for an asset function. Apply after changing duty, repeated failures, new monitoring capability or evidence that the current tasks do not address the actual mechanism.

What it helps you decide

The review connects maintenance effort to credible failure mechanisms and consequences. It helps choose a practical approach instead of extending generic service schedules to assets with different duties or constraints.

How to complete it

  1. Define Asset / failure mode and Evidence basis from manufacturer guidance, history and operating conditions. Identify the required function and consequence before choosing tasks.
  2. Compare Strategy options and Technical rationale, including preventive, condition-based or corrective approaches where relevant. Test whether available competence, access and data support each option.
  3. Record Implementation constraint, Approved task link and Effectiveness measure. Set Review triggers from actual performance evidence without inventing frequencies or promising failure elimination.

Who prepares and reviews it

A maintenance or reliability engineer prepares it with operators and manufacturer information holders. Competent specialists review technical rationale; the asset owner approves strategy, with hazardous work authorization remaining in the separate operational process.

A mistake to avoid

Selecting a maintenance frequency because it is common elsewhere can waste effort while leaving the asset's actual failure mechanism and operating conditions unaddressed.

Illustrative example

Illustrative example: a ventilation fan repeatedly fails between scheduled services because debris accumulates under particular operating conditions. The review examines the mechanism and available monitoring evidence. The owner evaluates a revised maintenance or design response instead of simply shortening every service interval without understanding the cause.
