Equipment Data Book and Handover Dossier

Organize the actual equipment documents, revisions, outstanding gaps and handover record for a defined equipment package.

How to use this template

This Word template contains prepared headings, tables, project fields and completion notes. Add your information, review the completed document and remove the notes before issue.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Assemble as equipment documentation becomes available and complete the applicable review before package handover. Use it for a defined purchase order or equipment group whose installed configuration and supporting records must remain traceable.

What it helps you decide

The data book creates a usable index of actual equipment evidence and unresolved gaps. It helps the receiving team locate the right records without confusing document receipt, technical review and equipment acceptance.

How to complete it

  1. Define Equipment package identity and Scope and dossier basis from the contract. Verify tags, models and serial numbers, using the contractual dossier title where required.
  2. Build the Dossier index with existing document identifiers and controlled revisions. Link Equipment and design records, Manufacturing and test evidence and actual Operations and support documents.
  3. Record Exceptions and unresolved evidence, including effects on reliance. Complete Transfer and receipt record and Review and issue decision only after the responsible roles actually act.

Who prepares and reviews it

The vendor-document or package coordinator assembles it with supplier and discipline inputs. Operations and maintenance review relevant support records; the authorized issuer and receiving representatives record actual transfer and any separate acceptance decision.

A mistake to avoid

Filling a dossier index with expected document titles while leaving missing files unmarked creates apparent completeness without evidence and can obscure configuration-specific gaps at handover.

Illustrative example

Illustrative example: a compressor package is ready for handover, but its manual covers a broader product range and one test report references another serial number. The data book identifies both exceptions. The package engineer requests configuration-specific evidence before the owner decides whether the dossier is adequate for its intended use.
