Engineering Data Interface Specification

Define exchanged engineering data, ownership and validation at a specific system interface.

How to use this template

This Word template contains prepared headings, tables, project fields and completion notes. Add your information, review the completed document and remove the notes before issue.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use before exchanging engineering data between systems or organizations. Review when identifiers, units, schema versions or receiving workflows change, particularly where mismatched data could affect calculations or asset records.

What it helps you decide

The interface record establishes what exchanged data mean and who owns corrections. It prevents technically valid files from carrying incorrect units, coordinates or identifiers into a receiving system without detection.

How to complete it

  1. Define Producer / consumer and the authoritative owner for each Data element. Establish the purpose and excluded uses, distinguishing file exchange from operational control.
  2. Record Type / unit / datum, Allowed values and Mapping rule from actual schemas. Leave unsupported transformations unresolved and distinguish empty, zero and unknown values.
  3. Specify Validation rule, Version / lineage and Access / retention. Define handling for rejected or duplicate records without placing credentials or production connection secrets in the document.

Who prepares and reviews it

An integration or information engineer prepares it with producer and consumer system owners. Discipline reviewers confirm semantics; authorized information-security and data owners decide access and retention under the actual project requirements.

A mistake to avoid

Checking only whether a file imports successfully overlooks semantic errors such as swapped identifiers, incompatible units or an unconfirmed coordinate datum in apparently valid data.

Illustrative example

Illustrative example: a survey team transfers coordinates into a design model whose reference system differs. The interface record identifies the datum, mapping responsibility and validation evidence needed. The receiving engineer checks representative records before deciding whether the exchange is suitable for the intended design workflow.
