Technical Data Room Reliability Review

Assess provenance, completeness and consistency of technical records used in transaction decisions.

How to use this template

This Excel template contains prepared working sheets and completion notes on a separate sheet. Enter your project data and review the completed workbook before use.

This editable workbook helps you organise project information. Check any included formulas, assumptions and results before use; it does not replace professional review.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Use when technical conclusions for an acquisition depend on a seller's document room. Apply after an initial index review and whenever conflicting revisions, missing asset records or uncertain provenance emerge.

What it helps you decide

The review tests whether available records can support the intended conclusion. It separates document volume from completeness and prevents uncertain versions or inconsistent asset identifiers from silently entering transaction advice.

How to complete it

  1. Define Expected scope for each Record ID from transaction assets, periods and document classes. Do not assume the provided index describes everything that should exist.
  2. Check Provenance and Revision status against original sources where available. Record each Consistency issue involving asset identity, capacity, dates or technical scope.
  3. Link each issue to its Affected conclusion. State Reliance limit and Verification action so provisional use, required confirmation and blocked conclusions remain distinguishable.

Who prepares and reviews it

The due-diligence records lead prepares it with discipline reviewers and data-room contacts. Relevant specialists evaluate contradictions; the buyer's authorized team decides reliance limits, with authenticity questions referred through suitable verification channels.

A mistake to avoid

Treating a large, well-organized data room as complete evidence overlooks missing document classes and inconsistent revisions that may matter more than the number of files.

Illustrative example

Illustrative example: an equipment list names one boiler model while the maintenance records reference another. The review records the conflicting identifiers and their effect on capacity assumptions. The specialist seeks installed-equipment evidence before the transaction team relies on the seller's stated operational capability.
