How to use this template

When you need it

Use this worksheet when a significant cost item needs a transparent estimate and the estimator must compare available methods, explain the selected basis, reconcile boundaries, and disclose remaining uncertainty.

What it helps you decide

It exposes the reasoning behind an estimate rather than presenting a single unsupported number, allowing reviewers to test source quality, method suitability, allowances, and the consequences of incomplete definition.

How to complete it

  1. Define Estimate item and boundary precisely, then record Inputs and evidence using quantities, comparable records, quotations, or other sources actually available for review.
  2. Complete Method comparison and Selected estimate rationale, explaining why the chosen approach fits the maturity, scope, and quality of the available information.
  3. Reconcile Estimate reconciliation with included and excluded scope, then record Review and remaining uncertainty so the estimate's limitations travel with its reported result.

Who prepares and reviews it

An estimator or quantity surveyor typically prepares the worksheet with engineering, procurement, and delivery input. A cost reviewer challenges sources and method selection, while the authorized project decision maker determines how the estimate is used.

A mistake to avoid

Selecting the lowest result from several methods without explaining differing scope or assumptions creates false precision and can systematically understate the required allowance.

Illustrative example

Illustrative example: a project estimates a retaining wall before detailed design. The estimator compares quantity-based costing with a relevant previous wall, records different ground assumptions, and selects a qualified estimate. The reviewer requests targeted ground information before the figure is used for a firm package budget.
