How to use this template
When you need it
Use this report at an agreed review point when the employer or project management team needs the contractor's integrated position on deliverables, programme, quality, commercial matters, interfaces, and decisions requiring attention.
What it helps you decide
It combines delivery and contractual context so reviewers can identify where progress is constrained, which statements need evidence, and what actions or decisions could protect the next reporting period's commitments.
How to complete it
Define Contract and reporting boundary, then populate Deliverables and programme with actual period evidence and clear distinctions between completed outputs, forecasts, and unresolved activities.
Explain Quality and commercial position and Risks and interfaces using source records, identifying disputed matters without presenting them as agreed facts or settled entitlement.
State Decisions and next-period actions, then disclose Data limitations and reservations so the recipient understands what remains unverified and which decisions require authorization.
Who prepares and reviews it
The contractor's project manager normally coordinates planning, quality, commercial, engineering, and site inputs. The client or contract administrator reviews the report under project arrangements, with specialist reviewers assessing significant technical or commercial reservations.
A mistake to avoid
Using optimistic narrative to conceal missing inspection records or unconfirmed delivery dates weakens the report's value and can postpone decisions until recovery options narrow.
Illustrative example
Illustrative example: a contractor building a substation reports foundations complete but equipment delivery uncertain. The report references quality records, the current programme, and supplier correspondence, then requests a decision on storage arrangements. The review focuses on the delivery interface rather than accepting the headline progress percentage alone.
