Set up after the executed contract and amendments are available. Maintain throughout delivery whenever events trigger submissions, responses, records or other obligations that require coordinated contract administration.

The tracker turns contract requirements into traceable administrative work. It helps the team identify upcoming triggers and missing performance evidence while keeping uncertain interpretation separate from a conclusion about breach or waiver.

How to complete it

  1. Assign Obligation ID and Contract source using the executed document hierarchy. Describe Party / obligation accurately, distinguishing duties from rights, discretion and conditions.
  2. Record Trigger and Due-date basis from the actual terms. Independently check calendar and service assumptions, escalating ambiguous language before relying on a date.
  3. Link Performance record to actual submission, receipt or completed action. Keep Open interpretation visible and update Owner / status without treating a planned action as performance.

Who prepares and reviews it

The contract administrator prepares it with commercial, technical and project-control contributors. Qualified legal advisers resolve material interpretation questions; the actual contract parties and appointed representatives retain their contractual decision authority.

A mistake to avoid

Copying obligations from a familiar standard form without checking amendments can create nonexistent duties or miss requirements that control this particular contract.

Illustrative example: a contract requires updated insurance evidence after an agreed extension. The tracker links the amended completion period and actual requirement, names the responsible administrator and records the received endorsement. The reviewer then checks whether the evidence addresses the obligation rather than merely recording an email as completion.
