How to use this template
When you need it
Use this checklist when a contract is approaching administrative closure and the team must reconcile delivered work, records, commercial matters, continuing obligations, exceptions, and the authority required for the closeout decision.
What it helps you decide
It prevents closure from becoming merely a final invoice exercise, ensuring unresolved responsibilities and retained records remain visible to the people who will manage them after the delivery team demobilizes.
How to complete it
Establish Contract and closeout basis from the executed agreement and applicable decisions, then check Delivery and records against the actual required outputs and evidence.
Review Commercial and continuing obligations, record Exceptions and handover of obligations, and distinguish unresolved items from matters evidenced as complete or properly transferred.
Complete Closeout decision record through the authorized role, then confirm Record retention and communication arrangements preserve access to the records needed after closure.
Who prepares and reviews it
A contract manager typically coordinates construction, quality, document control, finance, legal, and operations contributors. The designated commercial or project authority decides closeout, while owners of continuing obligations explicitly receive relevant responsibilities and records.
A mistake to avoid
Closing a contract because the final payment is processed can leave unresolved records, warranties, disputes, or continuing obligations without an accountable owner.
Illustrative example
Illustrative example: a mechanical installation contract has completed site work and submitted its final account. The checklist identifies an unresolved warranty contact and missing maintenance records. The team assigns these obligations and obtains the required documents before the authorized closeout decision is recorded.
