Measuring and Test Equipment Calibration Register

Control equipment identity, range, certificate, due date, status and affected records.

How to use this template

This Excel template contains prepared working sheets and completion notes on a separate sheet. Enter your project data and review the completed workbook before use.

This editable workbook helps you organise project information. Check any included formulas, assumptions and results before use; it does not replace professional review.

The form prepares a separate brief; it does not fill the Word or Excel file.

How to use this template

When you need it

Establish before measuring equipment enters project use and update whenever certificates, custody or equipment condition changes. Review it before inspections whose results depend on an instrument's suitable measurement range and status.

What it helps you decide

The register links measurement reliability to identifiable equipment and certificates. It supports restrictions on unsuitable equipment and helps locate earlier inspection records when later calibration evidence raises questions about their reliability.

How to complete it

  1. List Equipment and serial with its Measurement use from the inventory. Verify that the instrument can be linked uniquely to its actual custody and usage records.
  2. Check Certificate reference against the serial number and relevant range. Record the Validity basis from verified requirements rather than creating an unsupported interval.
  3. Apply evidenced Use restrictions and investigate Affected record follow-up when status changes. Identify measurements needing review before assuming that all earlier results remain valid.

Who prepares and reviews it

The equipment custodian or quality coordinator maintains the register with users and calibration providers. A competent measurement or discipline specialist evaluates suitability and affected results; restrictions follow the project's equipment control procedure.

A mistake to avoid

Tracking only certificate expiry dates misses whether the certificate covers the instrument's actual range, intended use and the serial number used on site.

Illustrative example

Illustrative example: a pressure gauge returns from calibration with an out-of-tolerance finding. The register identifies its serial number and recent pressure-test records. The responsible engineer assesses the affected range and test evidence, then decides which results require further investigation or repeat verification under the project procedure.
