How to use this template

When you need it

Use an action register after coordination meetings, inspections or decisions produce specific follow-up work. Maintain it between reviews so owners can see dependencies and management can identify overdue actions requiring intervention.

What it helps you decide

It makes commitments executable and verifiable. A clear action, accountable owner and closure record reduce repeated discussion and help distinguish completed work from updates that merely describe ongoing effort.

How to complete it

  1. Capture each action's origin, meeting or record, then describe a concrete output with one owner, a justified priority and an agreed due date.
  2. Record dependencies and coordinate conflicting dates with affected owners; keep status aligned with actual progress and retain references to the supporting project records.
  3. Review carry-forward actions, require closure evidence, and escalate unresolved dependencies using the agreed ownership rules rather than silently moving the original due date.

Who prepares and reviews it

The meeting secretary or project coordinator maintains the register with action owners. The relevant manager reviews priorities and escalation; the designated closure reviewer confirms evidence according to the project's operating rules.

A mistake to avoid

Avoid actions such as 'coordinate as necessary'; without an identifiable output, owners and reviewers cannot agree whether the work is complete.

Illustrative example

Illustrative example: a coordination meeting asks the electrical lead to confirm space for a cable riser. The action records the required drawing response and its dependency on architectural coordination. Closure follows the reviewed layout reference, allowing the next package review to proceed on a clear basis.
